This is how a meeting typically runs and what you can expect:
At the beginning of the meeting there are several procedural matters, any presentations noted on the agenda and then delegations are heard. The Mayor or Chair will call for delegations by name and identify the subject matter to be addressed. Please direct your remarks to the Mayor and Members of Council.
After you complete your presentation, the Mayor or Chair will ask Members of Council if they have any questions.
Once all delegations have been heard, Council will discuss each agenda item in the order it appears on the agenda, unless a Member requests an item be reordered. Members will consider the staff recommendation, discuss and debate each item.
Should you wish to make a presentation it must be submitted by noon the day before the meeting. If the meeting is on a Monday, presentations must be submitted on the Friday before the meeting. If you wish to have your presentation or speaking notes attached to an agenda they must be received by noon on the Wednesday prior to the meeting.
Tips
Here are some helpful tips on how you can prepare for your presentation.
Make notes or write out the text of your presentation. Written material will help you to keep focused and stay within the presentation time limit
Larger groups should select a spokesperson to deliver their presentation. If you are appearing on behalf of a larger group, such as a neighbourhood group, let the Clerk know in advance.
You can view current and past Council and Committee meeting agendas.
If you are looking for an upcoming meeting, Council agendas are posted by the end of day on the Wednesday preceding the meeting. Advisory Committee agendas are posted a minimum of 5 days prior to the meeting.
